The Office of Student Affairs Deputy of Housing and Nutrition

 

The Origin:

The Deputy of Student Housing was established as an alliance with The Deputy of Female Students' Housing and Nutrition in the year 1394 A.H. This was during the era of King Abdul Aziz's deanship at Makkah and was then called "The Department of Housing and Nutrition".  The purpose of establishing it was to provide comfortable and appropriate housing for the female students incoming to Makkah. It would provide them with all their needs through the subsidies and facilities that the University provides and let them feel they're among their families and folks. Supervision by social specialists and educationists lets them abide by the principles of Islamic religion and hold on to their morals. This helps in building a complete personality for the female University students, characterized by awareness of their beliefs, social compatibility and scientific compatibility.

 

Goals of the Deputy:

  • To make the students feel comfortable in their housing units and to create the appropriate atmosphere for studying as well as provide the main elements needed for that.
  • To spread religious, cultural and social awareness between students.
  • To understand the students' problems and to find appropriate solutions for them.
  • To try to fill up the students' spare time with constructive activities.

 

The Housing Division

Goals

  • Providing a suitable place to live for every foreign student who is not from Makkah at the beginning of each semester.
  • Providing transportation to take the students from their housing units to the University and back.
  • Handing the students their housing entry ID cards and any special permits
  • Carrying out the necessary procedures for clearance of graduate and receding students.
  • Punishment of students who don't abide by the regulations and setting a disciplinary board for some of them.

 

Conditions and Requirements to Join the Housing

Some of the authoritative documents for Saudi students who want to join the University's housing:

  • That the student would not be a resident of Makkah.
  • That the student would not have been dismissed from the housing before as a result of breaking the housing regulations.
  • To present what proves she was accepted at the University
  • To present a binder including the following:
    • A copy of the last academic certificate
    • A copy of the medical examination
    • A copy of the family card
    • The parent's written request for the student to join the housing
    • Two photos of the student and two photos of the parent
    • The parent should refer to the Deanship of Student Affairs, directly to the Head of the Student Housing Department, to obtain a housing departure card for the student as follows:

Steps for Obtaining a University Housing Departure Card for the Student

Dear brother, parent of the housing student, in order to get a departure card for the student from the housing, you should do the following:

  •  
    • The student should visit the student housing administration at its location at Az-zaher district to complete the acceptance procedures in the housing. The student also signs a declaration of relationship and submits a proof that the person who is authorized to take her out of the housing is a mahram (lawfully prohibited person).
    • Kindly head to the deanship of the student affairs at al-Aziziya district, the Head of the Female Student Housing Department on the first floor. You should have the following authoritative documents:
      • The original copy of the relationship declaration, approved by the Vice Dean of the Housing and Nutrition.
      • Copy of the civil affairs ID
      • 2 photos size 4x6
      • Proof of type of relationship in case the person in authority is not the father.

The Services Provided by the Female Students' Housing

  • Providing a suitable place to live for foreign students. There are five housing units supervised by a number of specialists in that field. In every housing unit there is a variety of services that the students would need like pay phones, transportation buses (to and from University) and medical services. The housing units accept foreign students from various regions of the Kingdom and from outside the Kingdom. In every housing unit there are a number of supervisors who take shifts of supervision around the day, during the morning and afternoon, and during the evening. There's a living supervisor to sleep over.
  • Taking care of the student during her stay in the housing unit to meet her parents' trust. This is done by providing buses to transport the students back and forth from University and providing housing for students coming from outside Makkah. All this is done under specialized supervision which in turn results in psychological comfort, good health and improves their dedication to studies. The deputy places regulations for visiting times. It also prepares three meals (breakfast, lunch and dinner) and supervises on the catering at the University restaurant or housing unit buffets, with very low prices according to the rules and regulations applied in the Nutrition department of the deanship. The Nutrition department is also responsible for providing food and drinks needed for gatherings, occasions or trips.
  • Emergency medical care is available for ill students through the 24 hours of the day. The deanship owns an ambulance car that has all the necessary medical equipment. This is done in coordination with the medical department and the emergency rooms in the housing units.
  • Among the responsibilities of the deanship of female student affairs for Housing and Nutrition, is to take care of a student's problems at her housing unit or at University. This is done in cooperation with social specialists who follow up with the student's behavior and the amount of knowledge they acquire. They then work on solving all problems. When some students break the regulations, the social specialists observe closely what has been done, how they were punished and present it to the Vice Dean. The deputy also places a plan for activities including a variety of cultural programs, social programs, and appropriate trips that are approved by the University manager along with an annual plan for the remaining deanship departments for the student activities. In every housing unit there are a number of student activity clubs.

 

The Service of Getting a Certificate of Good Conduct and Behavior:

Dear graduate student:

We, the deanship of student affairs, present to you our best regards and wishes for a great and promising future.

In order to receive a certificate of good conduct and behavior in Arabic or English language, you should kindly follow these steps:

  • o Refer to the Deputy of Activities and Cultural Affairs, regarding the students of Makkah.
  • o Refer to the Student Affairs in the deanship branch at Ta'ef, regarding the students of the branch of University at Ta'ef, and presenting the original copy of the graduation certificate, in Arabic and in English.
  • o Reviewing the education information written on the certificate of good conduct and behavior. The student then should go to the head of the academic department that they belong to, to get that certificate signed and getting the stamp of the department.
  • o Returning to the office of the Vice Dean for Student Affairs to get the certificate approved and stamped by the Deanship of Student Affairs.
  • o Photocopying the certificate an adequate number of copies then returning to the Vice Dean of Student Affairs' office to get that copy stamped with an exactly similar stamp.
  • o Congratulations for your graduation!!

Regulations of the University Housing for Female Students

  • Staying away from anything that would spoil the reputation of the housing, internally or externally.
  • Respecting the supervisors, employees, and workers at the housing and dealing with them gently.
  • Respecting the general ethics for dressing in modest clothes.
  • Keeping up with group prayers (salat al-jama'a) at the housing unit mosque.
  • The students of every housing unit carry equal responsibility of cleaning and tidying up.
  • Students are not allowed to leave the housing unit unless with a mahram, and after presenting the departure card issued by the department of housing at the deanship, clearly showing the photo and name of the mahram. It is absolutely not allowed to leave without the original ID of the mahram.
  • A graduate student is not allowed into the housing without a permit from the housing department.
  • The student should report to the housing department or to the supervisor in case of her absence.
  • The students of the internal housing are not allowed to enter with their cars without a temporary permit from the housing department.
  • Abiding by the specified times for leaving and returning to the housing. The housing is closed at 10 pm and is only opened for urgent reasons.
  • Using the phone appropriately and according to the following rules:
    • Getting permission from the supervisor before making a call
    • Recording down the name of the person and the number to be dialed in the specified notebook.
    • The student is allowed one call per day to give a chance to her colleagues.
    • Coming quickly to answer a phone call when informed there is one.
    • Recording the name of the person who called and their phone number
    • Abiding by the regulations for visits, which are:
      • Referring to the housing department at the University to get a visit permit.
      • Abiding by the specified visiting hours, which are Monday and Thursday of every week.
      • Visits between students of one housing unit to the other are completely not allowed.
      • Whoever gets a visit without the supervisor's permission could be punished.
      • Respecting visit ethics by not disturbing the others.

 

Nutrition Department

This department is considered among the very active departments in the University. It provides to University students three subsidized meals every day to University students according to standards supervised by specialized nutritionists in the student Nutrition. The department has various responsibilities, including full supervision on the services provided by the nutrition contractor. The department also carries out the following:

  • Following up with and observing the cafeterias and restaurants of the location, the faculty of social services and continued education, and the faculty of medicine.
  • Following up with the prices and the expiry dates of products at the different cafeterias.
  • Being ready for official celebrations, like the graduation ceremonies, activities and other occasions if any.
  • Following up with the stationery shops, which are five in the location.
  • Providing necessary entertainment at the housing and University, in accordance with the male University, by phone.
  • Accepting rental requests of vacant units and following up with the males' section.

 

Student Activities

Goals:

  • Investing the spare time of students in an ideal manner, and in a beneficial way.
  • Inviting students to participate in activities and student services at the location and the housing units.
  • Giving the students experience, skills and knowledge that would be beneficial for them in their future life.
  • Getting the students used to the scientific manner of thinking and working.
  • Writing all the advertisements of housing units in an exciting and inviting manner to all the current activities.

 

The current activity plan of the housing units' students includes the following:

Islamic awareness, social awareness, cultural awareness, health, party and occasions

 

The Maintenance Department

Among the duties of that department is the general supervision on the periodical and urgent maintenance of the housing units. This is done in cooperation with the department of University services in addition to the location's special maintenance.
